Submitting Samples

1. Contact us via our on-line form, customerservice@measurement.gov.au or 1300 722 845:

  • to get a quote
  • to request shorter turnaround times
  • to order containers and preservatives for your samples
  • to obtain a permit to import quarantine material (for samples imported into Australia)

2. Familiarise yourself with the relevant sample preservation and holding times.

3. Upon receiving your formal quote from NMI, please print and complete sample submission form to accompany samples.

4. Read our terms and conditions.

5. Pack your samples securely:

  • sample containers (eg bottle, jar, tube, vial) should be watertight
  • inner packaging (eg strong sealed plastic bag) should be flexible and watertight and enclose each sample or group of samples of the same type (eg water, soil, biota)
  • outer packaging should be rigid and strong (eg esky or cooler no bigger than 30 L or 20 kg)
  • place ice bricks between the secondary and outer packaging
  • ice bricks should be placed between the inner and outer packaging
  • sufficient packaging should be used to prevent movement or breakage

6. Delivery instructions for Australian samples:

  • all delivery costs are your responsibility
  • deliver samples and any accompanying documentation (eg sample submission form) to the address you selected on your sample submission form
  • deliver during working hours and do not deliver on weekends or public holidays
  • NMI does not accept responsibility for the safety or integrity of samples until they are received by us

7. Delivery instructions for samples imported into Australia:

  • do not send samples to NMI without the permit to import quarantine material (see point 1 above) — they may be destroyed on arrival
  • all delivery costs are your responsibility
  • any expenses incurred by NMI in handling imported samples will be billed back to you with an added administration fee of 100% (typically quarantine fees are $80 to $120 per consignment and additional taxes or duty may be applied)
  • complete and collate the following documentation:
    • all pages of your permit to import quarantine material
    • a description of your samples
    • details of the country of origin of your samples (not the country it was shipped from)
    • contact details of the shipper
    • a letter regarding the presence of pathogens — use this proforma (DOCX 29KB)
    • an invoice with a value for customs purposes or no commercial value samples for in vitro analysis
  • make a copy of the documentation and place
    • one copy inside the package
    • the other copy in a robust clear plastic bag, mark it 'Attn AQIS/Customs' and attach it securely to the outside of the package
  • before delivery contact us with details of your consignment (sample description, shipper, likely arrival date)
  • deliver samples and any accompanying documentation to the address you selected on the sample submission form (arrange door-to-door express service — we do not accept samples sent by post)
  • deliver during working hours and do not deliver on weekends or public holidays
  • NMI does not accept any responsibility for the safety or integrity of samples until they are received by us due to quarantine regulations samples cannot be returned — they are destroyed by autoclaving one month after issue of the final report
